These “Service terms and conditions” apply to all reservations and rides booked with “Maximilian’s Black Car” (“we,” “us,” or “Company”). By booking a ride, you (“Client” or “Passenger”) agree to the terms below. These policies do not replace a signed services agreement where one is in place.
1. Reservations & Booking
Reservations can be made online, by phone, by text, or by email. We recommend booking at least 24–48 hours in advance; same-day bookings are accepted based on availability.
A confirmation including pickup time, location, vehicle type, and fare will be sent once your booking is finalized.
2. Booking Changes
Changes to pick up time, pick up and/or drop off location, or passenger count/luggage must be requested at least 4 hours before the scheduled pickup and are subject to availability ofschedule, location, or passenger count/luggage.Changes made inside the 48 to 4 hours window before the scheduled pickup time are free of charge.
Changes to pick up time, location, or passenger count made inside the 120 to 48 hours window before the scheduled pickup and are subject to availability ofschedule, location, or passenger count/luggage and are subject to a Booking Change fee of whichever is less of 25% of the quoted fare plus G.S.T. or $100 CAD plus G.S.T.
In case of Passenger(s) show up late for pick up time without a confirmed Booking change, the pick up time will stay as per the original booking and will either end at the original booking drop off time and/or drop off location and the full fare applies plus G.S.T., or can be extended subject to availability ofschedule, location for an additional fee equal to the extended time on increments of 30 minutes trip rate. Changes to drop off time (extending trip length), route, or drop off location can be updated during trip subject to availability ofschedule, location for an additional fee equal to the extended time on increments of 30 minutes trip rate. See section 4. Pricing & Payment.
3. Cancellations and No-Shows
Cancellations made more than 7 days before the scheduled pickup time are free of charge.
Cancellations made inside the 7 days to 24 hours window are subject to a cancellation fee of 50% of the full quoted fare plus G.S.T.
Cancellations made less than 24 hours before the scheduled pickup time are subject to a cancellation fee of 100% of the full quoted fare plus G.S.T.
If a Passenger is not at the pickup location within 15 minutes of the scheduled time and cannot be reached, the ride is treated as a no-show and the full quoted fare applies plus G.S.T.
For weddings, events, and multi-vehicle bookings, cancellations made less than 7 days in advance may forfeit the deposit.
4. Pricing & Payment
Quoted fare include the base fare for the agreed route and duration. Applicable taxes, and fuel surcharges (where in effect) are added separately unless stated otherwise.
Gratuity is not included on the Quoted fare. A tip to the driver is voluntary as it is a gesture of appreciation for a good service. Gratuity can be added to the bill if instructed or give it in cash directly to the chauffeur. Hospitality industry standard Chauffeur gratuity range from 10% to 20% of the Quoted fare.
Extra charges may apply for additional stops, extended waiting time beyond the included grace period, extra passengers/luggage, or after-hours and holiday service.
Trip rates are published on our website, and are subject to change without notice.
Payment is accepted by credit card, debit, or approved digital payment. A deposit may be required to confirm bookings for weddings, proms, and special events.
Corporate and recurring accounts are invoiced under separate agreed terms (see your Business Client Agreement).
5. Vehicles & Service Standards
All vehicles are professionally maintained, cleaned, and inspected before dispatch.
All vehicles are licensed, insured, and passed safety inspections for commercial service as per local and provincial regulations.
Drivers are licensed, trained, and required to follow all applicable provincial and municipal transportation regulations
We reserve the right to substitute a comparable vehicle in the event of mechanical issues or unforeseen circumstances, with notice to the Client where possible.
6. Passenger Conduct
- No smoking, vaping, or use of illegal substances in any vehicle.
- No open consumption of alcohol where prohibited by vehicle type or local regulation.
- Passengers must not stand through a sunroof, exit a moving vehicle, or engage in conduct that endangers themselves or others.
- Drivers may end a ride immediately, without refund, if conduct threatens safety or violates these standards.
7. Damage & Cleaning Fees
Clients are responsible for damage, excessive mess, or soiling caused by themselves or their guests during a ride.
A cleaning or damage fee, assessed based on the extent of the issue (typical range $150–$500+), will be charged to the card on file or invoiced separately.
8. Lost & Found
We are not responsible for personal items left in a vehicle but will make reasonable efforts to locate and return lost items.
Contact us promptly with your trip details to report a lost item; return shipping costs, if applicable, are the Client’s responsibility.
9. Accessibility & Special Accommodations
We accommodate wheelchair-accessible and special-needs transportation requests where possible — please note these requirements at the time of booking so we can assign the right vehicle.
Child safety seats are available on request; Alberta car seat regulations apply and Clients should confirm requirements for their child’s age and size.
10. Weather & Service Disruptions
We make every reasonable effort to maintain service during adverse weather but are not liable for delays caused by severe weather, road closures, or conditions beyond our control.
Where flight numbers are provided, we monitor flight status and adjust airport pickups accordingly at no extra charge.
11. Privacy
Personal information collected at booking (name, contact details, flight information) is used solely to provide and confirm transportation services and is not sold to third parties.
Information is retained only as long as needed for service delivery, accounting, and legal requirements, consistent with Alberta’s Personal Information Protection Act (PIPA).
12. Complaints & Refunds
Service concerns should be reported via email to info@maximiliansblackcar.com within 48 hours of the ride so we can investigate and respond.
Refunds, where warranted, are issued to the original payment method within [10] business days of approval.
